Duty of Care Measures
Last Updated: March 28, 2022
As a condition of onsite participation, attendees must consent to Duty of Care measures which will be implemented by Big Brothers Big Sisters of America (BBBSA) in Indianapolis. These include the stipulation that you will reconsider your participation at the event if you feel sick or are experiencing COVID-like symptoms prior to traveling or while onsite in Indianapolis.
To help ensure your personal safety and comfort during the 2022 National Conference, BBBSA is committed to robust and transparent communications during the event. We encourage all participants to monitor BBBSA social media channels and download the BBBSA Conference app to their mobile devices to receive up-to-the-minute updates. (App is available 2 weeks prior to the event).
Onsite Safety
In partnership with JW Marriott Indianapolis, BBBSA will adhere to all official government and local authority guidance, as well as any venue or location-specific regulations. We will continue to monitor the evolving situation and guidelines. The safety of our attendees and staff are our highest priority. Safety measures listed below are in accordance with the CDC and local authority guidelines. BBBSA cannot provide specific risk levels for event activities. It is important to consider your own personal situation and the risk to you, other attendees, and staff before participating.
- Attendees will be required to show proof of one of the following: COVID-19 vaccination or a negative PCR COVID-19 test, performed within 72 hours of the conference.
- To verify COVID-19 vaccination or negative test, BBBSA will utilize Cvent Health Check (powered by ID.me), which is a secure method of verifying attendee health status with easy-to-use, confidential health checks on attendees’ own mobile devices.
-
- Only PCR tests are accepted. At-home and antigen tests won’t be accepted.
-
- BBBSA will offer onsite COVID-19 testing for attendees who develop symptoms during the event. Attendees will be responsible for paying for their own test and must bring their insurance card to get tested.
-
- Testing will be available 8:00am – 10:00am and 3:00pm – 5:00pm from June 19 through June 22 in room 308.
-
- Custom signage will be placed throughout the venue advising required health and safety protocol and attendee behavior expectations.
- BBBSA is actively designing room layouts, seating arrangements, food delivery, and visitor pathways to ensure physical distancing and safety is in effect.
- BBBSA intends to deliver the highest level of hygiene and safety protocol during our event to ensure our attendees, speakers, exhibitors, sponsors, and vendors can connect, learn, and return to business as usual, effectively and safely.
- Attendees can make it easy for others to know their comfort level with personal contact through colored badge markers, which will be provided at registration (e.g., green means “I’m comfortable with a handshake or hug”; yellow means “Let’s stick to an elbow bump”; red means “Let’s maintain a six-foot buffer.”)
- Mask wearing is optional.

Another Surge prior to the event?
We are passionate about holding an in-person event, but if the pandemic requires it, we will transition the conference to a fully virtual event. And if we must go virtual, we will make available a $250 refund on in-person registration fees.
By removing risk from your decision-making, we want to make it easy to take advantage of the tremendous event we’re building for you.
Cancellation
Cancellations received in writing (via email) by May 30, 2022 are eligible for a 100% refund minus a cancellation administration fee of $100. Cancellations received after May 30, 2022 are not eligible for a refund.
If the National Conference transitions the 2022 in-person event to a virtual conference, then BBBSA will refund registrants $250 of the registration fee they paid for the in-person conference.
